Terms of Service

1. The service

CStoreScan is a mobile app and web portal for convenience store operators. You photograph paper vendor invoices; we extract the line items using AI services; you review and accept the extracted result; and we generate and email EDI 810 files and invoice PDFs to the back-office system you configure.

2. Eligibility

CStoreScan is sold to businesses, not consumers. You may use the service only on behalf of a business, and you must be at least 16 years old. By using the service you represent that you have authority to bind the business whose stores and invoices you manage.

3. Your account

You are responsible for keeping your sign-in credentials secure and for all activity under your account. Provide accurate account and store information, including the back-office email address to which we deliver EDI files and invoice PDFs; we send documents where you tell us to send them.

4. Your data

Your invoices and the data extracted from them belong to you. You grant us the rights needed to operate the service: to store your invoice images, to process them with our AI providers for extraction, to apply your review corrections to improve future extractions for your account, and to generate and deliver EDI files and PDFs on your instruction.

Your account's data is strictly isolated. One account's invoices and data are never shown to another account, except as described in Section 5 below. Our Privacy Policy describes our data practices in detail.

5. Anonymized price benchmarks

As part of the service, item-price data from customer invoices contributes to anonymized regional price benchmarks shown to other customers. These benchmarks work both ways: your data contributes to what others see, and their data contributes to what you see.

The benchmarks are k-anonymized. Only a vendor name, a price, and a count of operators are ever shown; no store name, account, or operator identity is ever displayed. Benchmarks are scoped to a nearby region. By using the service, you consent to this aggregation of your item-price data into anonymized benchmarks.

6. AI extraction, review, and your responsibility

Invoice extraction is AI-assisted and can make mistakes. The service is designed around your review: you review and accept every invoice before anything is sent to your back office. The service flags invoices whose line items do not reconcile to the printed total, but you are responsible for verifying amounts before relying on them, including before paying a vendor or posting figures to your accounting system.

Performance claims on our marketing site, such as scan times or savings figures, are illustrative. Actual results vary with invoice quality, vendors, and how you use the service.

7. Acceptable use

• Only scan invoices and documents you have the right to process.
• Do not attempt to access another account's data, probe or circumvent the service's isolation or security controls, or attempt to re-identify operators behind anonymized benchmarks.
• Do not use the service to send unlawful, deceptive, or malicious content, or interfere with its operation.
• Do not resell or provide the service to third parties except for the stores under your own account.

8. Fees and billing

Paid plans are billed through Zoho Billing, with payment processing by CSG Forte. We never store card numbers ourselves. Fees are as presented at purchase, and usage may be metered by scans depending on your plan. If a payment fails or an account is materially past due, we may suspend service until billing is resolved.

9. Intellectual property

We own the service, including its software, design, and the CStoreScan name and marks. These Terms do not transfer any of our intellectual property to you, and your data remains yours as described in Section 4.

10. Disclaimers

The service is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that extraction will be error-free or that the service will be uninterrupted.

11. Limitation of liability

To the maximum extent permitted by law, CStoreScan will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data, arising from or related to the service. Our total liability for any claim arising out of the service is limited to the amounts you paid us for the service in the 12 months before the event giving rise to the claim.

12. Termination

You may stop using the service and close your account at any time. We may suspend or terminate accounts that violate these Terms. Upon closure, you may request deletion of your account and stored invoice data as described in our Privacy Policy.

13. Changes to these Terms

We may update these Terms as the service evolves. For material changes, we will give you at least 30 days' notice before they take effect, by email or by a notice in the product. Continued use of the service after the effective date constitutes acceptance of the updated Terms.

14. Governing law

These Terms are governed by the laws of the State of Alabama, USA, without regard to conflict-of-laws rules. Any dispute arising from these Terms or the service will be brought in the state or federal courts located in Alabama.
